How to choose PDF compression settings without ruining the document
The smallest file is not automatically the best file. Compression should start with the destination: email reading, a government upload, screen presentation, office printing or long-term preservation.
Identify what makes the PDF large
Scanned pages and photographs usually dominate size. Embedded fonts, vector drawings and selectable text are already efficient. If a mostly textual PDF barely shrinks, that can be the correct result.
Choose for the destination
For ordinary screen reading, moderate image resolution is usually enough. Fine print, maps, engineering drawings and archival pages need more. A portal’s maximum size is a hard limit, but do not reduce quality more than necessary to reach it.
Use an original for every attempt
Repeatedly compressing a compressed copy accumulates damage. If the first result is too large, return to the original and choose a stronger setting. Name results clearly so they are not confused.
Inspect the fragile details
Zoom into signatures, decimal points, pale stamps, thin table lines and small footnotes. These often fail before large text. Search a few words if the source was searchable, and print one representative page when print quality matters.
Understand the privacy trade-off
Server converters require an upload and a retention policy. A browser-side compressor can avoid transferring the document, although it still downloads processing code. For very large jobs, a local desktop program may offer better memory management.
Keep evidence of the source
Compression can change image evidence and invalidate digital signatures. Preserve the original whenever authenticity, future reprocessing or legal review may matter.
